LADIES COMMITTEE JOB DESCRIPTIONS

 

Lady Captain

Time Commitment: 48 hours per month + 2 meetings per month
Period of Office: 1 year
Reports to: Ladies Committee
Role Summary: To oversee the activities of the Ladies Section and to ensure that it operates in the best interests of the members. The responsibilities of the role will include (but not be limited to) the following: 

Responsibilites:

  • Chair the Ladies Committee meetings once a month and attend the General Committee meetings once a month to represent the interests of the Ladies section Assist the General Committee in understanding the needs of the members of the Ladies section Welcome new members and play golf with them; encourage them to get a handicap by taking lessons with our golf Pro, then marking cards and pairing them up with a ‘buddy’. 
  • Organise all the Ladies Friendly matches: being responsible for sign up sheets; team selection and Draw sheets. 
  • Be involved in selecting Competition Team Managers, with the Handicap Secretary and Competitions Secretary, for Jean Wilkinson; Grace Norman; Mary Cole Rosebowl and a Captain for the Scratch Teams. 
  • Arrange Wilkinson Triangular with teams from The Gogs and Lakeside. 
  • Arrange menus and select food for all Ladies HOME matches and competitions. Collect money in advance and on the day. 
  • Be expected to attend all (or as many as possible) Mixed Matches; Ladies Friendly matches; Inter Club competitions relating to the Ladies Section, as well as some internal competitions 
  • Organise Ladies Away Weekend and Away Day, to Clubs you chose in your Vice Captains year. Organise help with sign-up sheets; Hotel accommodation; menu choices; Draw sheets; and buy all prizes. 
  • Organise Opening Day and Captain’s Charity Day with the Men’s and Seniors’ captains; ask Ladies to help with the organisation of Ladies Open/ Ladies Invitation Day / Lady Captain’s Day.

Lady Vice Captain

Time Commitment: 20 hours per month + 2 meetings per month
Period of Office: 1 year
Reports to: Ladies Committee
Role Summary: To support the Ladies Captain in fulfilling her duties Responsibilites: will include but not be limited to the following: 

  • To deputise for the Lady Captain as necessary
  • To attend as a of the Ladies’ Section Committee 
  • To attend General Committee meetings 
  • Assist the General Committee in understanding the needs of the Ladies Section

Develop the Ladies section of the Club Diary, working with the current diary and any notes from the previous Vice Captain, build up the draft of the following years fixtures to include: 

  • Mixed Friendly matches 
  • County Competitions – Grace Norman ; Jean Wilkinson ; Marie Cole Rose Bowl 

Members’ Secretary will give all VC’s a copy of the master draft to finalise by end October 

  • Manage Team Selections including: o Mixed Matches. HOME: Organise on behalf of the Captains; confirm bookings; numbers; check tee times; book dinner; do draws; post notices on noticeboard; get dietary requirements; confirm all with kitchen 1 week in advance; do cards; collect payment; put flowers in changing room. AWAY: Contact Club; provide hosts with team details and handicaps; collect payment. 
    1. Other Matches: Assist in team selection for the following: i. Ladies Friendlies 
    2. Jean Wilkinson Trophy 
    3. Grace Norman Trophy 
    4. Mail on Sunday knockout
    5. Mary Cole Rose Bowl 
    6. Scratch Team – delegate to a player 
  • Assist in the organisation of Lady Captain’s Da on conjunction with rest of Ladies Committee 
  • Prepare handover speech for Ladies AGM including checking on the availability of Past Lady Captain brooc
  • Liaise with the other Section Competition Secretaries and assist the Ladies Competitions Secretary and committee with ladies competitions

Ladies Handicap Secretary

Time Commitment: 18 – 20 hours per month + 1 – 2 meeting per month
Period of Office: 3 years
Reports to: Ladies Committee
Role Summary: To ensure that each member of the Ladies section is allotted a handicap that accurately reflects their current standard of play
Responsibilities:
The role of the Ladies handicap Secretary will include but not limited to the following:

  • Liaise with General Committee Handicap Secretary with specific reference to management and introduction of World Handicap System
  • Liaise with Section Handicap Meeting representatives Processing the results for ALL ladies’ competitions, not just handicap qualifying competitions, with the exception of the Breast Cancer Texas Scramble
  • Processing of all competitions as soon as possible after the event.
  • Informing ladies of any handicap change following a competition and ensure they can access a new signed, printable handicap certificate
  • Processing away scores received from other clubs for members (usually via Club V1)
  • Processing Supplementary Card scores.
  • Maintaining ongoing records for aggregate or accumulative competitions such as: Birdie Tree, Par Bar, Bogey Double, Medal Lowest Gross, Eclectics & and Order of Merit
  • Setting up Extra Eclectic Card competitions (usually at monthly intervals) on Club V1 to support the Winter & Summer Eclectic competitions
  • Ensuring new members to the club, seeking a handicap, know the requirements and process all cards marked ‘For Handicap’
  • Informing members who have not completed 3 qualifying rounds for handicap purposes prior to the Annual Review (usually Sept)
  • Carrying out the Annual Review with the Handicap Committee and inform all players individually of any adjustments (end Dec). Publish the New Handicap List in full
  • Finalising the results for all aggregate and accumulative competitions and liaise with the Competition Secretary to prepare a full set of competition results for the Annual General Meeting
  • Informing EGU by 7th of the following month of any ‘Holes in One’ scored and send a photocopy of the card, signed by Handicap Secretary as a ‘true copy’, with a covering letter
  • Attending the two Cambs & Hunts Handicap Secretaries’ meetings each year (usually Jan & July). Liaise with the County Handicap Secretary re any concerns / questions that may arise

Ladies Competition Secretary

Time Commitment: 15 – 40 hours per month + 1 meeting per month
Period of Office: 3 years
Reports to: Ladies Committee
Role Summary: To ensure the effective organisation and management of all Ladies Competitions 
Responsibilities: Will include but not limited to the following:

  • Prepare, print and put up sign-up sheets for all competitions in changing rooms about 6 weeks ahead
  • Set up competitions on PSI and do draws for KO competitions
  • Sort out draws 7-10 days ahead, print and put copies in changing rooms; give to Pro Shop and email to ladies taking part
  • Make necessary amendments to draws prior to day of play and post revised draws.
  • Liaise with Ladies Treasurer re: payment for trophy competitions and knockouts
  • Liaise with Seniors Competition Secretary and alternate organisation of Seniors/Ladies competitions and Men’s Competition Secretary where necessary
  • Register teams and individual winners for any National competitions on their websites, for example, Annodata; Daily Mail Foursomes; Coronation Foursomes; Australian Spoons and Ping 4BBB
  • Keep a record of all competition winners for Lady Captain and to give to Club Secretary for updating trophies
  • Liaise with Ladies Handicap Secretary to undertake the Annual Review of all competitions
  • Attend Ladies committee meetings and report on competition matters
  • Assist where required to ensure the smooth running of the Ladies Section.

Ladies Secretary

Time Commitment: 8 – 10 hours per month + 1 meeting per month
Period of Office: 3 years
Reports to: Ladies Committee
Role Summary: Provide administrative support for the Ladies Committee and for the activities of the Ladies Section
Responsibilities:
 Include but not limited to the following;

  • Receive correspondence and pass to Lady Captain for decision on way forward 
  • In consultation with Lady Captain, prepare Agenda for each meeting and email to committee members together with supporting papers 
  • Record the business of each meeting and type up proceedings. Pass a draft of each meeting’s minutes to Lady Captain for approval, then email to all committee members about two weeks in advance of the next meeting 
  • Maintain an up-to-date file of the minutes of all the committee meetings and providing Bourn Golf Club General Committee with a copy of the minutes for their files 
  • Publishing the relevant documents for the Section’s A.G.M. 
  • Taking the minutes of the A.G.M. and producing them at the appropriate Committee meeting for approval. 
  • Record Actions to be done and place on next agenda as matters arising for signing off
  • Pass all Open Competition sheets received to the Ladies Social Secretary. (Hardly any come through now as most Opens are on Empire Golf Web). 
  • Send out Welcoming letter to new members and include the competitions fees letter. Keep a record of contact details. Inform Ladies Treasurer that a fees letter has gone out 
  • Liaise with Members Secretary as required 
  • Attend monthly Ladies Committee meetings

Ladies Treasurer

Time Commitment: 6 – 10 hours per month + 1 meeting per month
Period of Office: 3 years
Reports to: Ladies Committee
Role Summary: To work as a member of the Ladies Committee and in conjunction with Members Treasurer to ensure that the Ladies Section maintains effective financial governance in the best interests of all lady members. 

 Responsibilites: Include but not limited to;

  •  Liaise with Members Treasurer on all financial matters 
  • Report monthly to Ladies Committee 
  • Collect money from all competitions plus the annual medal/stableford fees
  • Liaise with Competitions Secretary re list of players and payments received
  • Enter monies into categories on the Financial Transaction Sheet or Spreadsheet
  • Pass all monies with transaction sheet to Club Treasurer, or bank money and send updated spreadsheet to Members Treasurer and Lady Captain at end of month
  • Produce accounts for each committee meeting; acquire copy of main committee monthly accounts for Ladies section meetings

• Record bills against agreed invoices and receipts and pass to Members Treasurer. All expenditure dealt with by Club Treasurer. Lady Captain only writes cheque (up to £100 one signatory/ over £100, Treasurer also signs) 

• Prepare ladies section annual accounts for Ladies AGM; obtain main committee annual accounts from Members Treasurer to present to Ladies section meeting (usually sept/Oct) each year 

Desired Skills and Experience:

  • Expertise in normal finance and accounting principles and functions 
  • Experience in a financial control role
  • Experience of budget setting, monitoring and reporting
  • Good interpersonal skills
Ladies Social Secretary

Time Commitment: 6 – 8 hours per month + 1 meeting per month
Period of Office: 3 years
Reports to: Ladies Committee
Role Summary: The organisation of fund raising and social events agreed by the Ladies Committee 

Responsibilites: Include but not limited to;

  •  As sheets for Opens come in, do copies and place in the Open Competitions folder in ladies changing room. Keep master of each in folder in filing cabinet in the office 
  • Organise social events, including fund raising events as agreed by the Ladies Committee. Liaise with club manager, chef and club social secretary as necessary on social events 
  • Assist Lady Captain with her Away Weekend and Away Day; Lady Captain’s Day and Invitation Day 
  • Act as a link with the Pro shop for ladies who play on Thursdays in tuition programmes 
  • Liaise with Rules co-ordinator on Rules events and publicise those events.

Cambs & Hunts Repesentative

Time Commitment: 5-8 hours per month + 1-2 meeting per month
Period of Office: 3 years
Reports to: Ladies Committee
Role Summary: Liaise with County on all ladies golf matters relating to BGCC
Responsibilites: Include but not limited to;

  • Attend a minimum of 4 Cambs & Hunts meetings a year
  • Liaise with BGCC Ladies Committee & report as appropriate to AGM
  • Assist County to run any competitions held at BGCC, by organising the draw, tee times, menu & overseeing smooth running on the day
  • Post all notices received from Cambs & Hunts on appropriate notice boards, including county matches and competitions, so that ladies know and can apply
