Seniors Section Job Descriptions

Seniors Captain

Time Commitment: 25 hours per month + 2 meetings per month
Period of Office: 1 year
Reports to: Seniors Committee
Role Summary: To lead and oversee the activities of the Seniors Section and to ensure that it operates in the best interests of the members. 

Responsibilites: The role will include but not be limited to:

  • Representing the Senior Section of Bourn Golf Club in a professional manner at all times. 
  • Chairing all Senior Section Committee meetings., including the AGM
  • Attending all Bourn Golf Club General Committee Meetings, to represent the interests of the Section
  • Assist the General Committee in understanding the needs of the members of the Seniors section 
  • Contribute to the development and implementation of club vision and strategic plan 
  • Chairing any disciplinary appeals that may arise, and communicating the decision to both the appellant and the committee as soon as possible. 
  • Playing in Senior Section matches, whenever possible. 
  • Liasing with the kitchen staff to set the menus and price for all home matches and any internal competitions which have a meal associated with them. 
  • Obtaining prizes and/or sponsorship for internal competitions such as Senior Captain’s Day and the Hot Toddy 
  • Informing the membership of any illnesses of members and arranging get-well cards to be sent where appropriate
  • Ensure effective communication and liaison with Men and Ladies Captains

Seniors Vice Captain

Time Commitment: 10 – 15 hours per month + 2 meetings per month
Period of Office: 1 year
Reports to: Seniors Committee
Role Summary: To support the Senior’s Captain in fulfilling his duties 

Responsibilites: The role will include but not be limited to:

  • Representing the Senior Section of Bourn Golf Club in a professional manner at all times 
  • Deputising for the Senior’s Captain when necessary 
  • Attending all Bourn Golf Club General Committee meetings 
  • Playing in Senior Section matches, whenever possible 
  • Assisting the Senior’s Secretary with the organisation of the Senior Captain’s Day competition 
  • Chairing any Committee meeting involving disciplinary matters and informing the Captain and Member’s Secretary of any decision 
  • Attending all General Committee meetings to represent the interests of the section 
  • Contribute to the development and implementation of club vision and strategic plan 
  • Contribute to effective communication and liaison with Men and Ladies Captains 
  •

Seniors Secretary

Time Commitment: 6 hours per month + 1 meeting per month
Period of Office: 4 years
Reports to: Seniors Committee
Role Summary: Provide administrative support for the Senior’s Committee and for the activities of the Section 

Responsibilites: include but not limited to:

  • Calling all the Sections’ Committee meetings, taking minutes and issuing them for approval at the next meeting, having first checked them with the Committee. 
  • Maintaining an up-to-date file of the minutes of all the committee meetings and providing Bourn Golf Club General Committee with a copy of the minutes for their files 
  • Publishing the relevant documents for the Section’s A.G.M. and ensure the meeting is conducted in a responsible manner 
  • Taking the minutes of the A.G.M. and producing them at the appropriate Committee meeting for approval 
  • Calling any E.G.M. and publishing the relevant documents in accordance with the Section’s rules and take the minutes of the meeting and have them approved at the appropriate committee meeting 
  • Purchasing all necessary trophies for the competitions on behalf of the Section, reclaiming any costs incurred from the Section Treasurer 
  • Arranging for all Section trophies to be correctly engraved, and available for presentation at prizegiving 
  • Organising the Senior Captain’s Day and facilitating the smooth running of the competition 
  • Ensuring that the Section’s handbook is amended to take account of any changes to the playing conditions as agreed by the Committee or by the A.G.M 
  • Arranging the publication of a list of members and Section diary in January of each year
  • Supplying the Club Secretary with the list of winners for inclusion on the Club’s Honours Boards

Seniors Section Treasurer

Time Commitment: 2 hours per month + 1 meeting per month
Period of Office: 3 years
Reports to: Seniors Committee
Role Summary: The role of the Treasurer is to maintain the finances of the Seniors Section and to administer them for the benefit of the members. 

Responsibilites: Will include but not be limited to, the following: 

  •  Controlling the Section’s cashbox and bank account. 
  • Setting entry fees for competitions in discussion with the Seniors’ Captain and Competition Secretary 
  • Advising the Section Committee regularly of the financial position of the section 
  • Organising the collection of entry fees for all competitions on the day of the competition or earlier if necessary, and paying winners of Medal and Stableford competitions 
  • Producing a financial analysis of all competitions and reporting to the Seniors Committee on the results 
  • Paying to Bourn Golf Club General Committee the amount deemed to be the Senior Section’s contribution to the general fund 
  • Paying, on receipt of invoices or receipts, all costs necessarily incurred by the Section, i.e. prizes, competition food costs and the costs of providing and engraving trophies and replicas 
  • Paying certain members and Committee members an agreed honorarium 
  • Advising the Captain on the budget available for prizes 
  • Preparing the financial statement and report at year end for presentation to members at the A.G.M 
  • Attend and report to Seniors Committee 

 

Desired Skills and Experience :

  • Expertise in normal finance and accounting principles and functions 
  • Experience in a financial control role 
  • Experience of budget setting, monitoring and reporting 
  • Good interpersonal skills 
Seniors Competition Secretary

Time Commitment: 40 hours per month + 1 meeting per month 
Period of Office: 3 years
Reports to: Seniors Committee
Role Summary: Organise the internal competitions and matches of the Section. 

Responsibilites: The role will include but not be limited to, the following:  

  • Organising the draws for monthly Medals and Stablefords 
  • Posting notices on the notice board and or advising Seniors through Club’s digital systems for all pre-arranged competitions such as Knock-outs, St George’s Day and Foursomes etc. at least 3 weeks prior to the event. 
  • Making the draw for pre-arranged competitions e.g. Captain’s Day, the Knock-out competitions etc. at least 10 days prior to the event and posting them on-line and on the Sections’ notice board 
  • Maintaining an up-to-date list of all winners and runners-up of all competitions 
  • Encouraging members to participate in the activities of the section e.g. by organising ad hoc events on selected “free” days 
  • Acting as lead Organiser for the Seniors Pairs Open competition 
  • Greeting new members and introducing them to the section playing agenda 
  • Attend and Report on competitions and Matches at Seniors Committee meetings 
  • Liaise with Members Competition Secretaryas required

Seniors Fixture Secretary

Time Commitment: 25 hours per month (Nil October – February)
Period of Office: 3 years
Reports to: Seniors Committee
Role Summary: Arrange the programme of matches against other clubs for the season. 

. 

Responsibilites: The role will include but not be limited to, the following:  

  • Liaising with the Member’s Secretary of Bourn Golf Club to ensure the dates of Senior’s interclub matches are included in the Club Diary
  • Advising all clubs with whom Bourn Seniors have matches, of the names of the Captain and Vice-captain for the following year
  • Posting team sign-up sheets on the Section’s Notice Board. Selecting teams for matches and posting the selected team sheets on the Section’s notice board. Liaising with the Captain and contacting the relevant reserves when members drop out
  • Sending and receiving team sheets from, match opponents prior to the matches, and arranging menus and prices for home matches with the Club catering staff
  • With the Competition Secretary, drawing up the Senior Section programme for the Club diary for the year incorporating matches, medals, stablefords, “free” Mondays and internal club competitions
  • Maintaining an up-to-date record of other clubs’ Officers, Captain, Vice-captain, Match Secretary, to whom the team lists should be sent
  • Attend and report to Seniors Committee Meetings
